How to Change Your QBOA Login Email Address

Changing the email address used to log in to QuickBooks Online/QuickBooks Online Accountant (QBOA) involves updating several linked pieces - your Intuit/QuickBooks sign-in, user profile, and possibly company contact info. 

Put on your patience face and set aside some time to do this - there are a lot of steps!

I went through this a few years ago when I created a company-wide email address for all my apps. I wanted to clean up how we logged in, and for an added security measure, I didn’t want a public-facing email being used for the apps (every little bit of info the bad actors have to scrounge for is a deterrent).

I wish there had been a clearer set of steps on the internet, because it’s a bit convoluted. I recently saw someone asking again for the how-to, so here it is for those of you who don’t know how to do it. Let’s make sure everything works smoothly and that your clients see the correct contact information.

Why this matters

  1. Your login email is also tied to your Intuit account and credentials, so changing it properly ensures security and avoids login issues

  2. If you’re an accounting firm, your team or clients may rely on email for invites, communications, or admin roles

  3. The email address shown in your company settings and contact info affects what clients see on invoices, statements, etc.


What to update

When you change your login email, you typically need to update:

  1. Intuit (Account Sign-In/Profile email/User ID)

  2. Your QBO(QBOA) Profile/User Profile

  3. Company/Firm Contact Email(s) in Settings

  4. Roles/Admin Invitations, if other users are affected

Step-by-Step Guide

Below are the steps. I’ve broken them into two major parts: changing your own login, and handling any related settings, so everything remains consistent.

Note: Depending on your region (Canada vs US etc.), the names of menus may differ slightly. I’ll provide examples for Canada/North America, based on what Intuit’s support documents show.


Part 1: Change your Intuit/Sign-in Email (Login/User ID)

This is the email you use to sign in to all your QuickBooks/Intuit services, including QBOA.

  1. Sign in

    • Log in to QuickBooks Online Accountant (or any QuickBooks product) using your current email

  2. Go to Intuit Account Manager/Profile/Sign-in & Security

    • Usually, click your profile icon (often top right) → Manage your Intuit Account (or Your Profile/Your Account)

    • Then select Sign-in & security (or similar menu) - QuickBooks Link

  3. Edit Email/User ID

    • Find the Email address field (or User ID/Sign-in email)

    • Click Edit next to it

    • Enter the new email address you want to use

    • Confirm via any verification required (clicking a link sent to old or new email) - QuickBooks Link

  4. Save/Confirm

    • After entering, save the change

    • You might need to enter your password again

    • You may also be prompted to verify via a code sent to either the old or the new email

  5. Wait/check

    • Ensure you can log in with the new email

    • If there is any email tied to the old address, check if any notifications or verification are needed


Part 2: Update QBO/QBOA Profile & Company Settings

Even after changing the login email, there are a few settings inside QuickBooks that still might use the old email ; you’ll want to update those so everything is consistent.

  1. Personal/User Profile in QBO/QBOA

    • Within QuickBooks, click the Gear ⚙ icon → look for Your Profile or Your Account/My Profile

    • Under Contact info/Sign-in info/Personal Info, edit the email if it shows the old one - QBO Link

  2. Company/Firm Contact Email

    • In Account and Settings (or Company Settings) → Company tabContact info section: update the company email as needed (this can be what clients see on invoices, estimates, etc.) - QuickBooks Link

    • Also, check “Customer-facing email” or “Billing/Contact” email for outgoing communications

  3. User Roles/Invitations

    • If there are other users or accountants using the old email (e.g. your old email is in use somewhere else), you might need to invite the new email, transfer roles, then remove the old one

      1. This is particularly relevant if someone else will function under that email

      2. For example, in QBO, under Gear → Manage Users, you can add a new user/accountant with the new email, ensure their role/permissions match, have them accept the invitation, then remove the old user with the old email - QuickBooks Link

  4. Double-Check Notifications & Verified Email Sources

    • Some alerts, support messages, or Intuit communications may still be going to the old email until the change is fully propagated

    • Also, check what email is listed under Sign-in & securityEmail/User ID and Contact/Profile → ensure consistency


Common Issues & Solutions

Problem: “Email already in use” error when trying to change.

Possible Cause: The new email is already associated with another Intuit/QuickBooks user/account.

What to Do: You may need to remove the email from that other account or use a different email. Or you may need to contact Intuit support. - QuickBooks Link

Problem: Verification email not arriving.

Possible Cause: Spam filter; old email no longer accessible; delays.

What to Do: Check spam; make sure your old email is active; if necessary, contact support to verify your identity.

Problem: Some parts still show old email (company invoices, client messages).

Possible Cause: They may use a separate “company contact” email or an email address in their profile that differs from their sign-in email.

What to Do: Update company settings/contact info as above.

Problem: Login issues after the change.

Possible Cause: Perhaps cookies/cache, or Intuit needs time to propagate the change.

What to Do: Log out, clear cache, try an incognito/private browser; allow some time; ensure you verify any confirmation steps.


Sample Flow

Here’s what a sample flow might look like for an accounting firm:

  1. Log in as admin via old email: alice@company.com

  2. Go to profile → Intuit Account Manager → Sign-in & Security → change email to admin@company.com

  3. Verify via email sent to the new address

  4. Go into QBOA: update user profile to reflect new email

  5. In company settings: change “Company Email” to admin@company.com

  6. If needed, invite a new user with a new email to all firm/client access, assign roles, then remove the old user

  7. Test login, test sending invoices/client-facing forms to see what email shows


When to Contact Support

If you run into one of these:

  • The email/account ID you want is already in use, and you can’t disassociate it

  • Verification emails aren’t arriving and the old email is inaccessible

  • Anything unexpected (errors, security warnings)

Then contact Intuit/QuickBooks support. Be ready to verify identity/provide owner/admin access.

Changing your QBOA login email involves multiple steps: updating the core Intuit account sign-in, updating your QBO profile and company settings, and ensuring all user/invite roles are adjusted. If done properly, the transition is smooth - fewer login problems, consistent communication, and accurate client-facing info.
