Upgrade from spreadsheets and docs to a practice management app

We are in an awesome cloud technology era. So many great choices of apps to improve our efficiency, keep our teams on track, create fantastic client experiences and collaboration, and streamline our operations. We use ours for client work and to manage administrative tasks as well.

We no longer have to live in our spreadsheets and docs - we could, but they are awkward and inefficient. Plus, even though they are free, they may cost us more than the fabulous paid apps.

Go paperless

From pre-accounting for gathering documents and receipts to payment processing, kick paper to the curb. It’s time-consuming, environmentally ridiculous and expensive to manage and maintain.

Implement automation

You can use native automation to perform manual “toil-tasks” or use integrator apps to perform duties and aggregate data from different apps. Ensure your processes and systems are tight, and test your automation to mitigate embarrassing or worse security-flawed failures.

Automation built on lousy systems accelerates lousy outcomes.

Embrace a password management app

Ditch the over-used, unsecured, impossible-to-manage password system (non-system) you have in place.

Use an app that creates unique and complex passwords for every login rather than relying on logins you create - helping to mitigate “brute force attacks,” “credential stuffing,” and “social engineering”.

A password manager app is also an efficiency app - auto-filling not just passwords, but also payment info when purchasing online items and filling out forms with details such as name, email, address and phone number.

Adopt an online scheduler

Let’s say you have 3 meetings a week (consider yourself lucky), and you spend 10 minutes setting up each meeting (I would think this is an underestimate).  

That’s 30 minutes (I’m a bookkeeper; I can do the math).  Xs 4 weeks a month.  Xs 12 months a year (I’ll let you do that math).

You can set up all your basic needs in an online scheduler - once - in 30 minutes (this is not an underestimate).

Take advantage of templates

If you are going to do something more than once, document it as a template of some sort.

Either create your own or use pre-built ones (you know, like mine), Financial Cents has a full library or have AI assist you in creating them. Whatever route you go, consider using them for workflows, SOPs, communications and the like. 

These renovations are indeed investments that pay off.
